Tours & stops

Your tours

123
4

The Tours tab shows all tours of your vehicle: the Current tour 1 at the top, below it Upcoming 2 and Past tours from the last few days. Each card shows the tour number, route, planned times, kilometres and driving time.

Labels 3 at the bottom of the card show the status of the tour:

Label Meaning
New / Needs confirmation Accept the tour
Changed Dispatch has changed something – check and confirm
Accepted accepted, not started yet
Running the tour has started
Finished / Cancelled completed or cancelled

Accepting a new tour: Open the tour and tap Accept tour 4. To set off, tap Start tour. Only then can you record times.

Tip

If an earlier tour is still open, the app asks when you start whether you should drive that one first. This is only a reminder – you can still start.

More about the tour list

Past tours, one of them with Check documents

The Current tour has a blue frame, Upcoming tours have a yellow bar on the left. Each card also shows how many stops the tour has and, shortened, the note from dispatch. Under Past tours you find the finished tours of the last few days.

All labels at a glance:

Label Meaning
New The tour is new and not accepted yet.
Needs confirmation The tour must be accepted – with Accept tour.
Changed Dispatch has changed the tour. Open it and confirm the change.
Upcoming The tour is in the future.
Accepted Accepted, but not started yet.
Running The tour has started.
Finished The tour is completed.
Cancelled Dispatch has cancelled the tour.

Earlier tour first?

Notice Earlier tour not started yet

If you tap Start tour while another tour is planned at least 30 minutes earlier and has not been started yet, the app asks: Earlier tour not started yet. Below it you see the tour number, start and First stop of the earlier tour.

  • Go to tour … opens the earlier tour.
  • Start anyway starts the selected tour as usual.
  • If you tap next to the window, it closes – nothing is started.

This is only a reminder, not a block. If the earlier tour is already over according to the plan, or the two tours are less than 30 minutes apart, it does not appear.

Steps at tour start

If your company has set steps for starting a tour – e.g. confirming the licence plate or taking a photo –, Start tour first takes you through these steps. Tap Next at each step. After the last step the tour starts. If you go back, the start is cancelled and the tour stays not started.

Without a signal, the tour starts as usual. Open steps then appear in the tour detail.

The order at start: first the notice about an earlier tour, then the steps, then the question about the pallets (see chapter Pallets).

The tour in detail

123

Tap the tour to open all details. From top to bottom:

  • 1 Delay per GPS – if FR8 sees from the vehicle position that you will arrive later, a red card appears. You also get a push notification. Answer with I'm on time or I'll be late – dispatch sees it right away.
  • 2 Note from dispatch – what dispatch wants you to know about the tour. The app translates it into your language; the original is shown in small print below.
  • 3 Notes for this country – rules for the countries on your route, e.g. night driving bans or tolls.
  • Customer, total distance, driving time, planned start and end.
  • Open route in Google Maps – the whole tour as a route.

If your vehicle gets pallets, there is also a purple Pallets box here – see chapter Pallets.

Important

Tap the times at the moment they happen – not at the end of the tour. That is the only way they are correct. The app reminds you of this the first time you open a running tour.

More about the tour in detail

Header of an upcoming tour: note from dispatch, notes for the country, Client and External order no.

Reporting a delay: If you tap I'll be late, you can enter a Reason (optional) and then tap Report delay. The push notification about the delay also arrives when the app is not open – tap it and answer briefly in the app.

Note from dispatch and Dispatch note are already shown for upcoming tours. Read them before you set off – they often tell you the ramp, contact person or documents you need.

Notes for this country list rules for the countries on your route, e.g. night driving ban, toll box or reporting duties such as the SENT number for Poland.

Further down you find Client, External order no., Total distance, Driving time and the planned start and end.

The first time you open a running tour, Record times right away appears once. Confirm with Got it.

Stops and times

1234
5

Under Stops you find all stops in order – Loading, Unloading, Pass through or Meeting point 1. Each card shows company, address and planned times, what is loaded or unloaded, and important notes about the place on a yellow background. The map icon 2 opens the address in your navigation app.

Recording times: Tap the time buttons 3 in order – Arrival, Loading start or Unloading start, Loading end or Unloading end, Departure. Times you have done turn green. A button with a lock is still blocked: the tour has not started, or the time before it is missing. Depending on your company, a button opens short steps, e.g. load photos or seal number.

Station details 4 opens the Times page: there you add a time you forgot, write a Remark and enter container numbers. Then Save.

Important

If a time has "approx." 5 in front of it, the customer did not send it – FR8 estimated it. Do not write these times on the consignment note (CMR).

More about stops and times

What a stop shows

Unload and load with container exchange and Location note
Pass through with yellow note "Intermediate stop – no unloading"

A stop is Loading, Unloading, Unload and load, Pass through or Meeting point. Each card shows:

  • number and type of the stop, company and address,
  • the planned times,
  • what is loaded or unloaded here: consignment, container number, goods – and where the consignment comes from or goes to,
  • on a yellow background: notes such as "Intermediate stop – no unloading" and the Location note, e.g. gatehouse, ramps or waiting area.

Legs: If a consignment travels on several vehicles, the stop shows in yellow e.g. "Leg 1/2 — final for Neustadt Baustoffe KG (Neustadt) · load here". The consignment is then handed over to another vehicle on the way.

Loading notes

The heading of a stop (e.g. "UNLOADING") does not tell you whether there is really something to do. That is why a yellow note with a parcel icon appears when there is nothing or little to load:

Note Meaning
Nothing to unload / Nothing to load — trip without consignments There is nothing to do here.
Only 1 consignment Easy to miss – that is why it is shown.
"3 consignments · all empty" All load carriers are empty.

The app counts consignments, not swap bodies – several consignments can share one swap body. The note does not appear for every order: if the individual consignments are not known, the app prefers to show nothing.

The consignments show "empty" or "loaded" when this is certain. If nothing is shown, it is unknown – that does not mean "loaded".

If two consignments at a stop have the same name, the app adds the consignment ID. That way it is clear which line belongs to which consignment when you enter the container numbers.

Times, "approx." and short steps

Completed times: green with time of day, at the stop the actual time with ✓

Between arrival and departure you see when unloading should end or loading should start, e.g. "Arrival 03:00 · Unloading end / Loading start approx. 03:30 · Departure 04:00". If unloading end and loading start are at the same time, they are shown on one line.

When you open the stop, the note about "approx." is shown again: "Times marked “approx.” are estimated by FR8. The customer does not send them." Such times do not belong on the consignment note (CMR).

Completed times turn green with the time of day. The stop then shows the actual time with ✓ next to the planned one.

Short steps on the time button: Depending on your company, a time button opens a short sequence – e.g. load photos, seal number, taking a photo of the proof of delivery or having it signed. Use Next to go step by step; you can leave out optional steps with Skip (optional). If an entry is rejected, the step stays open with your entries and shows the reason.

The "Times" page

Container numbers per consignment, below them Save

Station details opens the Times page of the stop:

  • all times at a glance – Now sets the current time, with the pencil you add a time you forgot or correct it,
  • Remark about the stop,
  • container numbers per consignment – for unloading "from …", for loading "for …". If a number was already recorded before, e.g. at loading or on an earlier leg, it is pre-filled. Then just check it.
  • Save stores everything.

At the top right is Incident – use it to report a problem at exactly this stop, see chapter Chat, calls & incidents.

Documents and finishing the tour

12
3

At the end of the tour:

  1. Documents – use Add photo / document 1 to take photos of consignment notes, delivery notes and proof of delivery.
  2. Finish tour 2 – if times are still missing, the app shows them. Enter the actual times, not the current time.

If sending does not work, your entries are kept – just tap again.

Sending missing documents later: FR8 checks the documents of finished tours. If something is missing, the Check documents box 3 appears – on the tour and on the home screen. Answer with I will upload them and send the documents, or with Nothing further.

Tip

Two tours back to back: If the previous tour is already due to have ended, you may start the next one and finish the old one later in peace. A yellow notice on the home screen reminds you of the open tour – tap it to open it.

Vehicle change: If a change is planned on the way, a card at the end of the tour shows where and when you switch. After that, sign in to the app with the new vehicle.

More about finishing the tour

Finishing the tour

You can take photos of Documents or upload them as a file. The list shows what has already been uploaded. Depending on your company, a few short closing questions follow after Finish tour.

Your entries are not lost:

  • When you tap Finish tour, the button briefly shows Sending ….
  • If it works, the window closes as usual.
  • If the report is rejected, the window stays open with all your entries. Below it in red: "The submission was rejected. Your entries have been kept — please tap “Finish” again." Just tap again – you do not have to type anything again.
  • Tapping next to the window does not close it. If you really want to cancel, use Cancel.
Tip

No network? Then the phone saves your report and sends it automatically as soon as there is network again. You do not have to wait for it.

Sending missing documents later

FR8 checks the documents of finished tours. If something is missing – e.g. the signed proof of delivery of an unloading point –, you see it in three places:

  • on the home screen as the notice Documents incomplete,
  • in the tour list on the tour as the Check documents box,
  • in the tour itself – the same box, with the stops concerned.

Answer with I will upload them and send the documents via Add photo / document. If there are no further documents, tap Nothing further – dispatch sees this.

Two tours back to back

If the next tour has to start right after the previous one, there is often no time for photos and documents. If the previous tour is already due to have ended and its end was not too long ago (your company decides this, usually 6 hours), you may start the next tour without finishing the first one.

So you do not forget it, the yellow notice Another tour has not been completed yet. appears – on the home screen below the current tour and in every tour you open. Below it, each open tour is listed with tour number and route. Tap it to open it. The notice disappears as soon as the tour is finished.

Important

If the previous tour was too long ago or is really still running, the app does not let you start. It names the open tour and takes you there – finish it first.

Vehicle and driver change

Vehicle change card with Meeting point and time

If a vehicle change is planned on the way, the Vehicle change card is shown at the end of the tour: "Here you change to D-DE 1008. Afterwards, log in to the app with the new vehicle." – with Meeting point and time. If, the other way round, you take over a tour, it says "Here you take over the tour from …".

If the shift or the licence plate changes, it is enough to leave the app briefly and open it again (or unlock the phone). Then the new driver name and the current licence plate are shown at the top of the home screen. With the driver, the personal chat, the phone numbers of dispatch and the language also change – unless you chose your language yourself, then it stays. Without network the last state stays; nobody is signed out.
